How to Delegate Tasks to Coordinators

First, make sure that the task is appropriate to be delegated.

The idea is that, as ticket counts drop, coordinators have more flexibility to help with tasks that are big, but easily managed by large groups of people. Example is that as of writing 727 articles need migrated. This is a huge task for one person but is only 8 articles per day (less than 30 minutes) for 4 coordinators for a few weeks.

Examples of delegated tasks:

  • Onboarding data entry tasks (like punching in medications)

  • Renewing Deal service periods!

  • Virtual shelters

  • Knowledge base article updates

  • Content reviews (check this and make sure it’s accurate)

  • Content creation (make a quick video about how to do XYZ in the app)

To do this

  1. Start in Hubspot and use the “Create Ticket” form in either the Tickets Object or Help Desk view.

  2. Be sure to use the Tasks Pipeline

  3. Assign the Ticket to the “Coordinators” group/team (if this can be done, check on this later Rob

 

Update the Help Desk “Our Turn” view to also see these tasks as part of the items they need to manage.
